Welcome to the XNN Systems privacy policy. The privacy of our participants, staff and audience is hugely important to us and we hope you’ll read this page and by the end be settled and reassured that your data is safe in our hands. Ahead we have an outline of the data we collect, how we use that data, and where it goes.

This applies to data collected from our website, our ticket outlets, the shop and our live events.

Who we are?We are XNN Systems. Information is managed by Sofi Lee-Henson: designer/director/producer. You can get in touch with her sofi@xnn.systems

What information do we collect?We collect names and email addresses from our audience when signing up to events, adding to mailing list, and collecting feedback from events. Generally when there is a spare moment, these email addresses are added to our mailing list manually. Additionally, we keep paper feedback forms from live events.
We do not collect payment information from our audience.
During our events, any personal information is treated as strictly confidential.

How do we use personal information?The collection of your information serves soley to add a personal touch to your experiences with us. We use your contact information to inform you of future events which may interest you, get feedback on previous events for research and development purposes, to provide goods and services relating to events.

What legal basis do we have for processing your personal data?The processing conditions contained within the GDPR:
Consent - you have the right to give or withdraw your consent at any time.


When do we share personal data?We treat personal data confidentially and do not share this information for love nor money with any third party. Please check our ticket outlets for their policies as they may vary from our own

Where do we store and process personal data?
Data is stored and processed in the United Kingdom.

How do we secure personal data?
Data is stored on a secure Google Drive and protected by substantial passwords with two-factor authentication.
Any loss of information through accident will be weeped over for several days before getting over the fact. Any breach in information from third parties will result in us contacting you straight away. We do not keep any sensitive data written down so we do not anticipate trouble. We train all of our staff to ensure data is kept protected and confidential. To manage third party risks, privacy policy will be stipulated through use of contracts and security reviews

How long do we keep your personal data for?
We keep fresh emails and names for up to 10 years after collection.
Any data is deleted securely on expiry.


Your rights in relation to personal dataUnder the GDPR, we respect the right of data subjects to access and control their personal data. Please write to us directly if you wish to: 1) access to personal information 2)correction and deletion of information  3) withdrawal of consent (if processing data on condition of consent) 4) data portability 5) restriction of processing and objection 5) lodge a complaint with the Information Commissioner’s Office. All actions are possible so long as it doesn’t cause exposure of another person’s personal data or violate data required for retention by law.

We currently do not use automated decision-making or profiling.
